Opera Center Scheduler/Assistant

PURPOSE:  To administer the Opera Center daily schedule in close collaboration with Opera Center’s Artistic Director, General Manager, and Coordinator and SFO’s Rehearsal Department by general facilitation of the rehearsal and performance process and creation and management of the daily, weekly and monthly Opera Center schedules and activities. To provide support to Opera Center Artistic Director and Opera Center Management, as needed.

EDUCATION & EXPERIENCE: 

  • Bachelor's degree from an accredited college or university or equivalent work experience
  • 2-3 years of stage-related experience in theater, opera, music, or performance arts
  • Experience in opera / music and the performing arts
  • Knowledge of opera production repertory scheduling and opera repertoire required

  • Ability to anticipate & solve problems quickly, with an aptitude for crisis management, maintaining a professional demeanor under pressure
  • Ability to balance multiple schedules and last-minute changes in a calm manner with a focus on problem solving
  • Collaborative spirit and team player
  • Great attention to detail, taking pride in task completion with consistent accuracy
  • Demonstrated ability to maintain confidentiality and handle discreet information
  • Successful experience working in a structure with multiple supervisors with the proven ability to multitask and prioritize tasks
  • Knowledge of the opera industry and music required
  • Fluency or working knowledge of foreign languages preferred
  • Reliable punctuality, as well as a professional appearance
  • Ability to work in virtual office setting, as required
  • Set priorities; coordinate multiple projects simultaneously, meet firm deadlines
  • Must be able to self-motivate and ask for needed information for the execution of job duties
  • Must maintain a high level of confidentiality
  • Must have an aptitude to communicate in a clear, professional and patient manner by phone, in writing and in person
  • Ability to recall a large quantity of names, dates and times
  • Proficiency in MS Word, Excel and Outlook & an understanding of web based applications
  • Knowledge of foreign languages, particularly German, Italian, or French desirable
  • Ability to sit at a computer/desk for multiple hours per day
  • Must be able to deliver schedules in a timely fashion, meeting daily deadlines
  • Must be able to work a flexible schedule, extending to evenings and/or weekends, if necessary

ESSENTIAL JOB FUNCTIONS:

  • Manages schedule information with the Opera Center Management, Rehearsal Department, Music
  • Staff and Guest Teachers; prepares and distributes (via email) schedules and changes on a daily basis to Rehearsal Department and is available to answer any follow-up questions
  • Accurately tracks number Adler Fellows number of sessions with each coach, teachers, and faculty
  • member providing this information in a concise manner with Opera Center Management
  • Prepares Weekly Master Schedules for upcoming seasons & cross-references Weekly Master
  • Schedules against departmental calendars
  • Reviews and cross-references the San Francisco Opera Weekly, Monthly, and Yearly Calendars (Opera House, Davies, Zellerbach, Herbst & Wilsey) and communicates any discrepancies
  • Updates and shares master calendars with Opera Center Staff

SECONDARY FUNCTIONS:

  • Liaises with Artistic Director and SFO Librarian for music procurement, edition, and cuts
  • Assists Artistic Director with other tasks, as needed
  • Performs other job-related duties as assigned
